ABOUT CONFERENCE HOUSING
Thank you for your interest in having a summer conference at the University of South Florida Tampa campus. We are excited to work with you in making your conference the best it can be.
From booking to billing, we want every summer conference to be a success. Conference Services include assistance with overnight accommodations, group meal plans and meeting spaces. Please feel free to contact our staff with any questions regarding this process.

Available Conference Halls & Rates
Juniper Hall
Juniper Hall is one of our suite style options, accommodating up to two guests per room and four guests per suite. A double suite can be rented for $39.50 per person, per night. A single suite can be rented for $46.00 per person, per night.
Poplar Hall
Poplar Hall is one of our suite style options, accommodating up to two guests per room and four guests per suite. A double suite can be rented for $39.50 per person, per night. A single suite can be rented for $46.00 per person, per night.
Magnolia Apartments
Magnolia Apartments is our apartment-style conference housing. Offering a kitchen, a living room, and single-occupancy rooms for two to four people Magnolia offers a more private conference experience. The rate for this space is $49.25 per person per night.

Contracting Information
- Liability Insurance Policy:
The Organizing Group agrees to provide liability insurance covering the program participants for property damage, personal injury, and death in an amount not less than three million dollars ($3,000,000) for event coverage, one million dollars ($1,000,000) per person, and two million dollars ($2,000,000) per occurrence and shall name the State of Florida, the Board of Governors of Florida, and the University of South Florida Board of Trustees as additional named insureds ("Additional Insureds") and shall provide a certificate of insurance evidencing the same. Evidence of such insurance shall be provided no later than ten working days before the program. All insurance provided by the Organizing Group shall be primary over any insurance carried by the State of Florida, the Board of Governors of Florida and the University of South Florida Board of Trustees and shall contain a waiver of subrogation in favor of the Additional Insureds. - Contracting Process:
To begin the contracting process, please submit a Group Reservation Form. Once the reservation form is submitted, you will be contacted by a member of the conference team to verify the information. An in-person or virtual contract meeting will be scheduled with a member of Conference team and Hospitality Services team. Once the contract meeting has been held, your camp/conference dates will be secured. A signed contract will be due 30 days prior to arrival. - Timeline:
Our staff is happy to help you plan the details of your conference. The planning timeline below is a tool to help you along the way; note that timelines may vary based upon the needs of the group. Please note that planning timelines are subject to change at the discretion of Conference & Guest Services.- Request for Services → Assignment → Contracting → Staff Outreach → Conference Event

- Request for Services: Priority deadline for reservations is March 1st. We can accept reservation requests through April, but space is limited and depends on availability
- Assignment: Begins early February
- Contracting: Contracts for existing groups are typically initiated in early March (subject to change)
- Staff Outreach: A staff member will confirm the details of your stay 3 weeks prior to group arrival
- Invoicing: Within 30 days of group departure

Registration
The request form allows Conference Services staff to initiate services and is the first step of the process. Once the completed form is received, we will contact you to continue the process. We also use the completed request form to assist in generating the Conference Agreement, which when executed, will confirm and guarantee reservations. A completed request form is a request for services and does not guarantee availability nor assure reservations as requested.
